EPCOR Water Services is hiring a full-time permanent Administrative Assistant to join our Linear Asset Services team. This position is based at our Aurum Facility site in Edmonton.
As the Administrative Assistant, Linear Asset Services, you’ll provide essential administrative support to the Leadership Team, helping keep operations running smoothly and ensuring key deadlines are met. You’ll manage schedules, prepare meeting minutes, format and distribute communications, create presentations, maintain records, and support data management.
You’ll also help plan social events, handle purchasing and facilities requests and act as a go‑to resource for navigating internal EPCOR administrative processes.

What you’d be responsible for
In the role of Administrative Assistant, you are accountable to the Director, Linear Asset Services and will have the following key accountabilities:
- Provide comprehensive administrative assistance to the Director of Linear Asset Services, including independent calendar management, meeting agendas/minutes, and decision-making on daily requirements and planned events without direct oversight.
- Maintain and ensure proactive action on confidential monthly operational reports, manage action items, and yearly business plan deliverables, including the tracking of overtime reports and vision care forms.
- Lead the end-to-end organization of event arrangements from small meetings to full-scale departmental celebrations, holiday events, and team-building including venue selection, budget adherence, A/V requirements, catering, and milestone recognition gifts.
- Process and track purchase orders, invoices, and P-Card reconciliation reports for multiple work groups, while resolving billing issues and maintaining a cost-effective "just in time" inventory of office supplies.
- Manage the lifecycle for employees and consultants (onboarding, relocations, security/remote access, and clothing orders) and coordinate with service providers for facility repairs and janitorial services at the Aurum site.
- Act as the site designer and owner for SharePoint sites to ensure functional and engaging content, while also maintaining physical bulletin boards for site-wide communications.
- Demonstrate a high-performance, safe, and accountable work style while providing training and relief coverage for administrative counterparts in other departments.
What’s required to be successful
Qualifications and experience you possess are:
- High School diploma or equivalent is required.
- 2 year post-secondary diploma in business administration would be considered an asset.
- A minimum of 5 years of related office experience is required; candidates that do not meet this requirement may be considered for a Developmental Level appointment with at least 3 years of related experience.
- Basic knowledge of water utility would be considered an asset.
Behaviours and skills you possess are:
- Ability to self-manage competing priorities and meet deadlines with minimal supervision.
- Capable of identifying issues and navigating internal processes to resolve problems in coordination with other departments.
- Strong verbal and written communication skills, including the ability to write professional emails and proofread documents for correct spelling and grammar.
- High level of attention to detail and the ability to create organized systems to keep work flowing smoothly and accurately.
- Proficient in Microsoft Office, including Word, Excel, Outlook, PowerPoint, and SharePoint.
- Previous experience with SharePoint site design or IVARA is considered an asset

- Final Wage and Step will be determined at the time of selection and based on a combination of factors as outlined in the Collective Agreement.
- If a candidate is hired at the developmental level starting wage will be determined based on experience at the time of selection.
